This Service Information bulletin (Revision 04) supersedes SI B01 09 15 dated May 2018 

What's New: 

SITUATION

For claim submissions, some BMW repair-related bulk materials (engine oil drum/tanker, HT-12 coolant drum, refrigerant tanks) have either a:

FOR CENTERS USING BULK SUPPLY ENGINE OIL (DRUMS OR TANKER DELIVERY)

The use of BMW one-liter bottles and/or the five-liter container of engine oil are no longer eligible for claim submissions and reimbursements except for the BMW diesel engine vehicles and certain older BMW Motorsport (M) vehicles where the engine oil is not available in a drum or by tanker delivery.

Refer to SI B11 01 21 BMW ENGINE OIL for the most current information.

CAUSE

This bulletin provides the procedure for repair order invoicing for the used/refill quantities of bulk engine oil and other bulk materials for claim submissions.

All center DMS should be able to support this billing procedure. Claims that are not submitted as outlined below will be automatically returned to your center for correction.

CORRECTION

Follow the instructions in the PROCEDURE section.

PROCEDURE

INVOICING BULK SUPPLY ENGINE OIL (DRUM OR TANKER DELIVERY)

  • Billing part numbers are available to invoice partial quantities of engine oil at one-tenth (1/10) liter increments,
  • These special one-tenth engine oil part numbers are required for claim submission for those centers that order, stock and dispense "bulk supply" engine oil.

Example: A center dispenses BMW 0W-20 engine oil from a 209-liter drum 

  • A G20 (330i Sedan) with an B46D engine is in your workshop and it requires 5.75 (5,75) liters of engine oil to perform an engine oil service with filter.
  • When invoicing this line item on your repair order for claim submission, submit for a quantity-58 (rounded*) one/tenth liter units as follows:

Important Notes 

*When the engine oil quantity goes to hundredths, always round up to the next 1/10th liter.

For parts inventory replenishment, please continue to purchase the bulk quantity part numbers.

INVOICING ONE (1) LITER BOTTLES OF ENGINE OIL WHEN APPROPRIATE

This applies to the BMW diesel engine vehicles and the applicable older BMW Motorsport (M), continue invoicing and claiming the:

One-liter bottle part number for the whole liter quantities needed,

Plus Sublet (Code 4) for the proportional quantity of last additional one-liter bottle that is needed at Dealer Net plus your centers handling.

Example: A center dispenses BMW 0W-30 diesel engine oil in one-liter bottles 

  • An F15 (BMW X5 xDrive35d) with a N57T diesel engine that requires 6.5 liters of engine oil for an engine oil service with filter.
  • When invoicing this line item on your repair order for claim submission, first claim the whole liter portion with the BMW part number at a quantity of six (6).

And then:

Claim the remaining 0.5 (5/10ths) of a liter in sublet under sublet code 4 as outlined in the Warranty Policy and Procedures manual under Section 8 - Warranty Administration > Jobs/Instructions and Repair Line Items.

SUBLET - BULK MATERIALS (RO AND CLAIM COMMENTS REQUIRED)

Itemize the sublet amount on the repair order and in the claim comment section.

For non-BMW Maintenance program claim submissions, the above procedure also applies to the all claim-related bulk material claim-related submissions.

PARTS INFORMATION

Obtain and confirm the part numbers for your specific vehicle by entering the chassis number in either ETK or AIR which considers specific equipment and/or options.

For BMW engine oil, refer to SI B11 01 21 and/or the Aftersales Bulletin for the applicable ordering and RO billing numbers.

NOTE: Due to the pricing difference between bulk and liter bottles, 1/10th part bulk numbers cannot be used together with the one-liter bottle part numbers for claim submission.

This service information bulletin provides claim-related parts invoicing and claiming information.

When invoicing for a claim submission, the 1/10th quantity can be quickly determined by just moving the decimal point (or comma) to the right as shown in the following examples.
